PRINCE2 (PRojects IN Controlled Environments)

PRINCE2 (PRojects IN Controlled Environments) is an internationally recognized project management method, originally developed for the UK government. It provides a comprehensive and adaptable methodological framework that defines seven principles, seven themes, and seven processes to effectively manage any type of project. Unlike agile methods, PRINCE2 favors a structured and predictive approach while remaining flexible enough to adapt to different organizational contexts.

Structure of the 7 Processes

  2. Directing a Project: strategic decision-making by the Project Board
  3. Initiating a Project: create detailed Project Initiation Documentation and project plan
  4. Controlling a Stage: daily monitoring and variance management by the Project Manager
  5. Managing Product Delivery: coordination between Project Manager and technical teams
  6. Managing a Stage Boundary: prepare and approve the next stage
  7. Closing a Project: validate achievement of objectives and transition to operations

Practical Example: Cloud Migration Project

During an on-premise to AWS infrastructure migration, PRINCE2 structures the project into four stages: analysis (application inventory), design (target architecture), pilot migration (10% of services), and full deployment. Each stage concludes with a validation gate where the Project Board evaluates the updated Business Case, reviews identified risks, and formally authorizes the next stage. The Quality theme ensures each migrated application meets defined criteria (performance, security, costs), while the risk register tracks evolving threats such as data loss or service interruptions.

Implementing PRINCE2

  1. Training and certification: train key actors (PRINCE2 Foundation and Practitioner certifications)
  2. Context adaptation: customize processes and documents according to project size and complexity (tailoring)
  3. Role definition: explicitly appoint the Project Board, Project Manager, and Team Managers
  4. Business Case creation: document economic justification with ROI, costs, and expected benefits
  5. Project Plan development: define stages, milestones, resources, and overall budget
  6. Register establishment: create risk, issue, change, and quality registers
  7. Manage by exception: define tolerances (time, cost, quality) and escalation rules
  8. Stage reviews: organize formal control gates at each stage boundary

PRINCE2 and Agile are not mutually exclusive. PRINCE2 Agile combines PRINCE2's structured governance with agile flexibility. Use PRINCE2 for overall governance (Project Board, Business Case) and integrate Scrum or Kanban at the product delivery level to benefit from the best of both approaches.
