What should you automate with n8n—and what should you stabilize first?

An n8n agency should not start by connecting tools. It should first understand the process, data, exceptions, accountable person and result to measure. PeakLab then turns that scope into a testable workflow with alerts, manual recovery and documentation.

The 2025 France Num Barometer, based on 11,021 businesses, including 7,978 very small businesses, and updated on April 7, 2026, reports that 26% of respondents use artificial intelligence, while only 5% use task automation. These self-reported figures do not predict any gain. They show why a pilot should start with a specific problem and a baseline metric.

An unstable process should not be automated as-is. If rules change for every case, data is incomplete or exceptions remain undecided, we first stabilize the operating model. Depending on the need, a native rule, a business application or custom development may be more appropriate than n8n.

n8n architecture and hosting decision

We compare n8n Cloud and a self-hosted instance based on data location, volumes, available skills, operating requirements and recurring costs. Self-hosting adds responsibilities for upgrades, backups, recovery, secrets and monitoring. It does not guarantee security, compliance or availability by itself. We document the decision and its assumptions before deployment.

Integrations and data quality

APIs, webhooks, databases and files are connected with the minimum permissions required. We document authentication, schemas, identifiers, rate limits, timeouts and dependencies. Workflows validate inputs, deduplicate records and use idempotency so a retry does not create two cases or two actions. A missing, unstable or overly restrictive API is identified before the final proposal.

Testing, failures and manual recovery

The pilot is tested with synthetic or minimized data, then with authorized representative cases: happy path, missing field, duplicate, unavailable API, timeout and retry. We define retries, error logs, alerts, deduplication and a recovery procedure. A workflow is not ready merely because a demonstration succeeded: acceptance testing also checks what happens when a step fails.

AI workflows with proportionate review

To classify a message, extract a field or prepare a summary, n8n can orchestrate a model while deterministic logic surrounds it: constrained output, thresholds, limited permissions, traces and human review where the risk warrants it. A technically successful execution does not prove the output is correct. For broader use cases, our generative AI agency also addresses evaluation, reference data and safeguards.

Deployment, monitoring and handover

We separate test and production environments and prepare the publishing workflow, secrets, backups, logs, alerts and rollback procedure included in scope. n8n 2.0, announced on December 8, 2025, notably separated saving from publishing and introduced safer defaults: every version change is still reviewed and tested before production. Documentation identifies the workflow owner, access, dependencies, manual fallback and maintenance schedule. Your team receives a handover. If an operating contract is selected, its hours, responsibilities and response times are written down instead of assumed.

Solteo: documented process automation without false technical attribution

For Solteo, PeakLab mapped and automated administrative procedures in a solar-project management platform. The published case, consulted on July 19, 2026, reports a change from 3 hours to 1 hour per case, from 20 to 50 projects processed per month, and from 15% to 3% case errors. The page does not state the measurement period or calculation protocol, so these figures are presented as documented outcomes from that project, not as a forecast.

This case demonstrates our process-automation experience, not that Solteo used n8n. We do not attribute a technology that the case study does not document. For your n8n project, the baseline, acceptance criteria and measurements are rebuilt around your own process.

The official documentation describes n8n as source-available under a fair-code license, not as OSI-approved open-source software.
